The challenge

Before

BrightSmile was a busy 2-dentist practice in Cavite handling 50–60 appointments per week entirely through phone calls and a physical appointment book. The receptionist spent 3–4 hours every day answering the exact same questions: fees for specific procedures, availability, what documents to bring, how to prepare for treatment. Appointment no-shows were high because there was no reminder system — patients simply forgot. And because bookings only happened during clinic hours, the clinic was losing potential appointments from patients who tried to book in the evenings or on weekends.

The solution

What we built

We built an AI front desk assistant trained on BrightSmile's complete service menu, procedure fees, dentist profiles, preparation instructions, and clinic policies. The assistant is deployed on the clinic's website and Facebook page — it answers questions, checks availability, and completes appointment bookings without any staff involvement, at any hour. It connects to a lightweight clinic management system we built alongside it: digital patient records, appointment calendar, treatment notes per visit, and automated SMS reminders sent 24 hours before every scheduled appointment.
