The challenge

Before

A Metro Manila law firm managing 500+ active client matters had its documents scattered across individual lawyer folders, email attachment threads, and a shared NAS drive with no version control, no access audit trail, and no search capability. Associates were spending 1–2 hours on initial contract review — mostly reading through standard boilerplate just to find the non-standard clauses that needed attention. Clients had no portal; they received updates via email with file attachments that created their own versioning chaos. The firm had no way to audit who accessed what, when — a growing compliance concern.

  • Documents stored across individual lawyer folders, email threads, and a shared NAS drive
  • No version control — multiple conflicting 'final' versions of the same document per matter
  • No full-text search across 500+ active matters — finding a document required knowing exactly where to look
  • Associates spending 1-2 hours on initial contract review to identify non-standard clauses
  • Clients received updates via email with file attachments — creating their own versioning problems
  • No audit trail of document access or modification — a compliance gap
  • No client self-service portal — every document request required staff involvement
  • Sensitive matter documents accessible to all firm staff with no access scoping

The solution

What we built

We built a matter-based document management platform with version control, full-text search across all uploaded documents, and role-based access scoped per matter and user role. The AI contract review layer reads uploaded contracts and surfaces non-standard clauses, missing provisions, unusual terms, and flagged language for attorney review — producing a structured checklist that associates can work from instead of starting cold. The client portal gives each client 24/7 access to their matter documents, case status updates, and a secure messaging channel — no email attachments required. Every document access and modification event is logged in an immutable audit trail.
