Impact

What changed.

01

Renewal lift

Membership renewal rate rose from 82% to 94% — recovering roughly 2,900 lapsed members in the first year and roughly $340k in associated revenue.

02

Tax-receipt timeliness

Year-end receipt scramble eliminated entirely. Donors receive receipts within hours of their gift, and IRS-aligned annual statements generate automatically.

03

Major-gift pipeline

Major-gift stewardship workflow led to a 38% increase in second-year major-gift retention. The development team described it as the first time they had real visibility into their own pipeline.

The challenge

Before

Meridian Art Museum is a Chicago arts foundation operating two museum sites and a year-round exhibition program with 24,000 active members and roughly 1,800 annual major-gift donors. Membership operations were drowning — renewals tracked across three different vintage CRMs, tax-deductible donation receipts assembled by hand at year-end, exhibition RSVP capture by web form into a spreadsheet, and major-gift donor communications managed by sticky notes on the development director's monitor. The board had explicitly asked for better operational hygiene.

  • 24,000 active members tracked across three vintage CRMs
  • Tax-deductible donation receipts assembled by hand at year-end
  • Exhibition RSVP capture via web form into a spreadsheet
  • Major-gift donor communications managed by sticky notes
  • Renewal cycle producing roughly 18% lapse from administrative neglect
  • Donor-history retrieval requiring archaeology across three systems
  • Board reporting compiled manually across four-source data
  • Match-gift programs and corporate giving tracked in a separate sheet

The solution

What we built

We built a unified membership and donor operations platform that absorbed the three CRMs and the spreadsheets. Member records, gift history, exhibition attendance, communication preferences, and tax-receipt status all live against a single profile. Renewals run on automated cycles with personalized communication at the right cadence — the system avoids over-mailing donors who have given recently and re-engages lapsed members thoughtfully. Tax-deductible receipts generate continuously rather than at year-end. Exhibition RSVPs flow into the same profile, so attendance history surfaces during major-gift conversations. Major-gift donor stewardship has a structured workflow with reminders, communication history, and gift-officer assignment. Board reporting runs from one data layer. Match-gift and corporate-giving programs integrate cleanly with employer-match clearinghouses. Development director sticky notes were ceremonially removed.
