EventPilot — Virtual Events & Ticketing Platform
From Zoom links and spreadsheets to a branded virtual events platform with ticketing, live sessions, and attendee networking.
Impact
What changed.
Full attendee data ownership
All registration, attendance, and engagement data lives in the organizer's platform — not in Eventbrite or Zoom's systems. The organizer can segment, re-engage, and market to their own audience.
Sponsor ROI became measurable
Virtual sponsor booths with document downloads, video plays, and contact request tracking gave sponsors quantifiable value — enabling higher sponsorship pricing.
Events now generate on-demand revenue
Recorded sessions are available on-demand to registered attendees and sold as standalone content passes after the live event — a new revenue stream that didn't exist before.
The challenge
Before
A professional conference organizer running 6 virtual events per year was stitching together Eventbrite for tickets, Zoom for sessions, and a spreadsheet for attendee management — with no branded experience, no networking features, and no post-event analytics. Sponsors had no digital presence beyond a logo on a slide deck. Attendees had no way to connect with each other. The organizer owned none of the attendee data generated by third-party platforms.
- Ticketing on Eventbrite — 5% fee per ticket and no data ownership
- Sessions on Zoom — no branded environment or networking features
- Attendee management in spreadsheets manually updated after each registration
- No sponsor booth or digital exhibition capability
- No attendee-to-attendee networking within the event
- Post-event analytics unavailable — engagement data stayed in Zoom
- No on-demand video replay for registered attendees post-event
The solution
What we built
We built a branded virtual events platform with integrated ticketing (with payment processing), a multi-session live stage powered by embedded video, virtual sponsor booths with document and video assets, attendee networking rooms, and a real-time engagement analytics dashboard for the organizer. All attendee data is owned by the organizer. Sessions are recorded automatically and made available on-demand to registered attendees post-event.
