Vertice Architects is a 72-person Melbourne firm with strong public-sector pedigree across schools, libraries, and civic buildings. Public RFPs were arriving faster than the firm could meaningfully respond — each tender required 40-60 hours of bid-writing labor to assemble project references, methodology statements, team biographies, sustainability narratives, and compliance attachments. The pursuit team was responding to about a third of relevant tenders. Win rates were healthy on what they did submit, but the firm knew it was leaving meaningful pipeline on the table.

The solution
What we built
We built an RFP response agent trained on the firm's past submissions, project portfolio, team biographies, methodology library, and compliance documents. When a new RFP arrives, the agent reads it, identifies the most relevant past projects with confidence scoring, drafts the methodology and approach sections in the firm's voice, assembles the team biographies for the proposed engagement, attaches current compliance documents, and produces a structured first draft. The pursuit team reviews, refines, and approves — they remain the writers; the agent does the assembly. Sustainability narratives are kept current through a curated narrative library that the agent draws from rather than recycling stale text. Senior architects spend their time refining strategic positioning rather than reassembling boilerplate. The compliance pack stays current automatically as documents are renewed.
